The arena

Global Product and Portfolio Strategy (GPPS) is the bridge between science and the marketplace. It ensures integration of research, development and commercial activities, providing a 360o view of our competitive and market environment. The team is global and consists of 200 people, where about 100 are placed in Gothenburg and collaborates with all key markets across the globe.

The role

The purpose of the role is to provide a broad department support to a number of managers. Tasks include travel arrangements, expense reporting, booking meetings, maintaining documentation, project management of functional activities, establishing systems and structures for day to day functioning of their responsibilities.

Accountabilities

  • Travel and Expenses/Purchasing and Invoicing: Manage complex international travel and visa arrangements, ensure compliance when processing and reconciling expenses and raising Purchase orders
  • Meeting and Events: Co-ordinate and schedul internal and external (including international) meetings, make travel arrangements.
  • Technology/IT skills: Maintain and develops expertise in appropriate IT, travel booking and expense systems.
  • Performs other administrative tasks using independent judgement and discretion

Minimum experience

  • Excellent written and verbal communication skills in both English and Swedish
  • A professional, confident, and proactive approach, with the ability to independently manage a diverse and demanding workload.
  • Strong organizational, forward-planning, team-working and stakeholder management skills with attention to detail
  • Good knowledge of MS office, Outlook, Sharepoint online, Box
  • Track record of handling and resolving challenges quickly and efficiently, with flexibility to adapt to changing situations and priorities.
  • Can create and maintain systems for efficiency for both self and others
  • Customer service skills
